Facilities Manager Job Description
Location: Fort Worth, TX Employment Type: Full-time Reports To: Head of School
FLSA Status: Non- Exempt
Goal
To ensure the safe, clean, compliant, and reliable operation of campus buildings and grounds by providing hands-on maintenance and repairs, coordinating vendors, implementing preventive maintenance, maintaining safety and compliance documentation, and delivering responsive customer service that supports an excellent experience for employees, students, and visitors.
Key Responsibilities
General Facilities & Maintenance Support
• Maintain cleanliness of classrooms, restrooms, kitchens, water fountains, windows, walls, common areas, mechanical spaces, and event areas.
• Perform minor maintenance and repairs within scope (light plumbing, basic electrical/lighting replacement, painting, simple carpentry).
• Address spills, messes, and minor hazards promptly to support a safe campus environment.
• Conduct routine walkthroughs to identify facility, housekeeping, or safety needs and document issues and corrective actions.
• Assist with classroom, meeting, assembly, and special event setup and breakdown.
• Support outdoor upkeep, including clearing entryways, light yard work, and basic grounds maintenance as needed.
Safety, Security, Emergency Response & Compliance
• Monitor facilities for unauthorized occupants and report security concerns promptly per school procedures.
• Monitor building alarm systems and the fire panel; respond to alerts, place/receive alarm service calls, and document events and resolutions per established protocols.
• Coordinate, conduct, and/or participate in required emergency drills (e.g., fire, lockdown, evacuation, severe weather); assist with scheduling, setup, roll calls, documentation, and post‑drill improvement actions.
• Follow established safety procedures for cleaning, equipment use, and chemical handling; use appropriate personal protective equipment (PPE).
• Maintain Safety Data Sheets (SDS) and ensure staff awareness of hazards and safe‑use requirements for chemicals used on campus.
• Follow established procedures for cleaning, disinfecting, and safely managing hazardous spills, including body fluids; document incidents and corrective actions.
• Support compliance activities by maintaining logs, inspection records, service reports, and training documentation; escalate risks immediately.
Vendor Coordination & Contractor Oversight
• Coordinate vendors/contractors for services (e.g., fire/life safety, alarms, extinguishers, hood systems, backflow testing, HVAC, plumbing, electrical, landscaping, pest control, specialized trades).
• Verify scope of work, safety orientation, and adherence to site rules; escort as required; monitor progress and quality; confirm completion to standards.
• Collect and file service tickets, inspection tags/stickers, deficiency lists, and corrective‑action sign‑offs; track re‑tests and re‑inspections to closure.
• Review invoices/work tickets for accuracy (scope, dates, labor, materials) and report discrepancies to school leadership.
Inventory, Shipping & Organization
• Maintain janitorial closets, storage areas, and mechanical spaces in a clean, organized, and safe condition.
• Restock, organize, and monitor cleaning supplies, tools, and consumables; request replenishment as needed.
• Receive shipments and ensure timely availability of supplies such as soap, paper products, and cleaning materials.
Event & Campus Support
• Prepare cafeteria spaces for daily lunch service, including setup and cleanup.
• Maintain the outdoor marquee with weekly announcements and updates.
• Collaborate with staff, administrators, and vendors to prioritize work and support campus needs.
Safe Transportation, Documentation & Training
• Operate the school van as needed in compliance with applicable traffic laws and school safety regulations.
• Conduct and document pre‑trip and post‑trip inspections (mileage, fuel, cleanliness, incident reports); ensure passengers are seated with seat belts fastened.
• Review behavior expectations and emergency procedures with passengers prior to trips; maintain situational awareness throughout.
• Participate in required safety trainings, certifications, and refresher courses.
Qualifications
Required:
• High school diploma or equivalent.
• Ability to perform basic building maintenance and custodial tasks.
• Physical ability to lift, carry, and move equipment or supplies up to 25 pounds.
• Strong problem-solving skills with a dependable, proactive work ethic.
• Effective communication skills and ability to work well as part of a team.
• Commitment to safety protocols, documentation practices, and attention to detail.
Preferred:
• Prior experience in custodial, facilities, maintenance, or building support roles.
• Familiarity with school, educational, or multi‑use facility environments.

Physical Requirements & Work Environment
• Work performed in indoor and outdoor school settings.
• Regular walking, standing, bending, kneeling, and climbing stairs throughout campus.
• Exposure to cleaning chemicals and occasional noise from tools or equipment; protective equipment provided as needed.
• Ability to respond effectively to emergencies or urgent maintenance situations in a busy, school‑based environment.
